S.O.S Complex Management System Design

Improving the operation management experience for animal shelters

Background

S.O.S is an organization whose goal is to provide foster homes and adoptive families to cats and dogs in need. The organization is composed of paid workers and volunteers, where each division (cats/dogs) has one Logistics Manager who’s responsible for connecting pets and potential families, maintaining a good relationship with the foster homes, and making sure no pet is left homeless after an adoption day.

RESEARCH

Interview

An interview with a current Logistics Manager in charge of the cat department at S.O.S was conducted.

Interview Goals

  1. Learn about the job of the Logistics Manager

  2. Gain insight into the work processes nowadays

  3. Discover pain points

Findings

  1. At the end of an adoption day, all the cats that were not adopted need to find a foster home to stay at until the next adoption day. This causes several hours of stress and anguish trying to contact all the potential fosters.​

  2. There are many different criteria to determine if a cat is a good match with a family (e.g. readiness to bottle feed, live in a high building, etc.) Right now each phone call regarding this topic takes a long time and can be used more efficiently.​

  3. A daily struggle to check up on the cats in terms of physical health and the satisfaction of the foster home.

NEEDS

  • Track fosters in progress

  • Quickly find a specific cat / foster home information

  • See all the tasks that need to be completed

FRUSTRATIONS

  • ​Cannot keep in continuous contact with foster homes

  • ​Experiences a lot of stress at the end of adoption days trying to find foster homes for the non-adopted cats

User Story

As the Cat Logistics Manager, I want to have the capability at the end of an adoption day to quickly find an ideal foster home for the cats that weren't adopted, in order to make sure the cats have a home until the next adoption day.

MOTIVATION

Problem

The Logistics Manager has a hard time keeping on track of all the pets’ residential and health status.

This causes foster homes to be unsatisfied with their temporary pet, and difficulty finding foster homes after an adoption day. Hence, animals are not being adopted.

Objectives

  1. An app to help the Logistics Manager keep on top of all their assignments and pets

  2. An app that helps speed up the process of matching pets to foster homes after adoption days
